Before starting the implementation, make sure you have:

  • An active Toast POS account with menu items and modifiers configured
  • At least one Toast terminal or Toast Go device processing orders
  • A The Neat Profit account (free plan covers single-location restaurants)
  • Admin access to your Toast dashboard and The Neat Profit
  • Your current inventory list (CSV format preferred for quick import)

Implementation Phases

  1. Connect Toast via OAuth

    Navigate to Settings → POS Connections in The Neat Profit dashboard. Click Connect Toast. You'll be redirected to Toast's authorization page. Log in with your Toast credentials and click Authorize. The connection is established via secure OAuth—no developer credentials or API configuration needed.

  2. Import and review menu mappings

    The Neat Profit imports your Toast menu structure: items, categories, modifiers, and pricing. Each item is auto-matched to an inventory product by name. For example, "Guinness Draft" in Toast maps to "Guinness Draught" in inventory. Review all mappings in the Menu Mapping tab. Items that can't be auto-matched are flagged with a warning—click to assign the correct product or create a new one.

  3. Configure modifier ingredient adjustments

    This is the step that sets Toast inventory tracking apart. For each modifier in your Toast menu, define its ingredient impact:
    • Quantity modifiers ("extra shot", "double bacon") — Add ingredient quantities to the deduction
    • Substitution modifiers ("gluten-free bun", "soy milk") — Swap one ingredient for another
    • Removal modifiers ("no onion", "no ice") — Remove an ingredient from the deduction
    This ensures your inventory reflects actual ingredient usage, not just what was ordered.

  4. Define recipes for composite items

    For cocktails and multi-ingredient dishes, create recipes in The Neat Profit. Enter each ingredient with exact quantity and unit.   5. Set sync frequency and complete baseline count

    In Settings → POS Sync, select Real-time for the most accurate perpetual inventory.   6. Enable AI features after data collection

    After 2-3 weeks of Toast sales data, activate AI features:
