Before You Start

Ensure you have the following ready:

  • A Clover merchant account with menu items configured (drinks, food, etc.)
  • At least one active Clover device processing orders
  • A The Neat Profit account—free plan is sufficient for single locations
  • Admin credentials for both your Clover dashboard and The Neat Profit
  • A CSV export of your current inventory (optional, but speeds up setup)

Configuration Steps

  1. Authorize the Clover connection

    Open The Neat Profit dashboard and go to Settings → POS Connections. Click Connect Clover. You'll be redirected to Clover's login page. Enter your Clover merchant credentials and click Allow to grant The Neat Profit access to your sales and menu data. The connection uses OAuth—no API keys or developer setup required.

  2. Map Clover items to inventory products

    Once connected, The Neat Profit pulls your Clover menu items and attempts to match each one to an existing inventory product by name. For example, "Tito's Vodka" in Clover maps to "Tito's Handmade Vodka" in inventory. Review all mappings in the Menu Mapping tab. Unmapped items appear with a warning icon—click to assign the correct product or create a new one.

  3. Define recipes for composite items

    For any drink or dish made from multiple ingredients, navigate to Recipes and create a recipe. Enter each ingredient with its exact quantity and unit. For instance, an Old Fashioned recipe: 2 oz bourbon, 0.25 oz simple syrup, 2 dashes Angostura bitters. When this item sells through Clover, those exact quantities are deducted from inventory.   4. Choose your sync frequency

    In Settings → POS Sync, select your preferred sync interval. Real-time updates perpetual inventory the instant a sale is processed—recommended for most venues. Hourly batches updates every 60 minutes. Daily syncs once overnight. Real-time gives you the most accurate stock levels and fastest variance detection.

  5. Complete a baseline physical count

    Before relying on perpetual inventory, take a full physical count using The Neat Profit's mobile app. Scan barcodes or use voice counting to record actual stock levels.   6. Turn on AI features

    After 2-3 weeks of Clover sales data, navigate to AI Features and enable:
    • AI Smart Ordering — Generates purchase orders based on demand forecasts and par levels
    • Anomaly Detection — Flags unusual inventory movement tied to staff or shifts
    • Demand Forecasting — Predicts what you'll need for the next 1-4 weeks

Troubleshooting Common Issues

  • Connection expired — Re-authorize in POS Connections. Clover OAuth tokens expire periodically and need renewal.
  • Items not mapping — Ensure Clover item names closely match inventory product names. Use the bulk remap tool for faster corrections.
  • Recipe deductions seem wrong — Double-check recipe units. Use oz for liquor, lb for food, and "each" for whole items like garnishes.
  • Sales not appearing — Verify sync frequency is set correctly and that your Clover devices are online and processing orders.
  • Multi-device mismatch — All Clover devices must be linked to the same merchant account to sync to one inventory database.
